Communication Skills at a Workplace

By Ricky S Kahn

Communication is one of the most important tools used by any organization to succeed. Communication can be of two kinds, internal and external. Internal communication is between the management and the employees of a company. External communication on the other hand is between the representatives of a company and its clients, suppliers etc.

Lack of communication can have a negative influence on the company and its clients. It can lead to misunderstandings; affect the performance level of an employee and an overall decrease in the company's profit levels. Poor communication can also lead to conflict amongst the employers in the organization. If the higher authority does not communicate the message accurately to the staff, there will be errors at every level. It will increase the level of frustration. As a result the company will never be able to meet its goals. The staff will always be dissatisfied, they will not be able to meet the needs of their clients and it will lead to unsatisfied customers.

Benefits of Effective Communication in the Workplace

When the ideas are clearly communicated to the staff by the managers, they can ask questions and clear their doubts. A proper flow of information can lead to a positive outcome and the growth of the company. The staff will always be satisfied if they are told everything clearly and all their issues are considered and resolved. This will encourage the staff to perform better in the organization and serve their clients in the best way possible.

Best approach to achieve good communication

The style that is adopted while communicating must be positive which will make it effective. The employees must be given a fair chance to communicate their thoughts about an issue that concerns them. The problems should be solved with an open mind. The overall environment in the company should be positive and encourage the idea of open communication. The management should not assume that the employees must only listen to the orders. They should encourage a two-way communication. Feedback is the best and most effective method to improve on a company's communicative problem.

The employees must be given training while dealing with clients. They should be taught to use the best method in communication. If anything is hidden from the client, they feel cheated and this in turn affects the company. Language can also be a barrier while dealing with international clients. They should be qualified enough to deal with such clients. While dealing with suppliers and retailers it is important to communicate effectively so that there is no confusion in the process of placing an order and other procedures.

There are several ways of depicting a plan for effective communication in the workplace. The plan that suits the particular project should be applied. A clear objective should be defined based on the organization's needs. The people involved in the communication must be identified. Different strategies are needed to be implied. The message that needs to be communicated must be known and how it will affect the audience involved. An effective tool should be adopted. These should be documented and the people involved must carry a copy of it in their briefcase. A budget and audit of the same must be conducted.

A fine approach of managing, as well as a positive method to communication, ensures that an employee and a supervisor understand one another, and are more effective at the workplace.
